Job Title: School Testing Coordinator

Position Status: Full-Time

Location: Columbia, SC

Job Description:

SC Whitmore School Testing Coordinator reports directly to the Director of Teacher Quality and Support. 

  • Oversee state mandated testing such as EOC, ELL, SAT, ACT, WIN, PSAT, PreACT and Advanced Placement Testing.
  • Order testing materials from the District or exam vendor as appropriate; train Test Administrators and Monitors; schedule testing sites throughout the state; arrange and schedule Test Administrators and Monitors for each testing site; arrange for Test Administrators to receive all testing materials; verify and submit all testing materials and accompanying reports to the District according to state regulations; coordinate testing locations and manage all test registrations, as well as assist in test administration (certification required), collaborate with the Director of Compliance to ensure appropriate testing accommodations are provided according to students’ IEPs.
  • Maintain data for all state testing.
  • Assist with the development of the testing budget with the Executive Director and any outside sources that require payment (to include, but not limited to Cantey Technology).
  • Communicate with students and parents in regards to testing notices. 
  • Communicate with teachers and office staff with regards to testing requirements and schedules. 
  • Keep the testing calendar up to date for the office staff and teachers. 
  • Attend training, conferences, workshops as appropriate to enhance job knowledge and skills.
  • Attend district, state and vendor sponsored training for all state testing. 
  • Provide correct testing information for each new school year to be included in the Student/Parent Handbook, Teachers Testing Manuals, and Orientation Presentation. 
  • Coordinate with Director of School Counseling to ensure students are enrolled in appropriate test prep courses for ACT, SAT, and WIN testing. 
  • Teach a small caseload of students as needed. 
  • Assist in new student orientation events.
  • All other duties as assigned.

Requirements:

  • Possess a South Carolina teaching certificate and highly qualified to teach secondary education.
  • Pass a SLED background check.
  • Strong technology skills.
  • Excellent written and oral communication skills.
  • Student focused approach to teaching.
  • High degree of flexibility.
  • Ability to travel across the state. 
  • Knowledge of principles and practices of excellent teaching skill

Job title: Administrative Assistant

Position Description:

The Administrative Assistant reports directly to the Director of Human Resources. The Administrative Assistant provides support to the Administrative team, other employees and office visitors by handling a variety of tasks. Ensure all interactions between the school and others are positive and productive and the efficient operation of the school office. 

  • Answer incoming phone calls, monitor ZipWhip and support visitors to the school office.
  • Distribute mail, accept all carrier packages and distribute. Any testing materials may need to be placed in the locked room.
  • Prepare outgoing mail using stamps.com; large mailings as needed, to include diplomas to graduates that do not attend graduation.
  • Communicate with administration, teachers and staff via email, chat, phone, and in person to solve problems and ensure the office is efficient.
  • Update the Office Calendar with meetings, appointments and school events such as testing dates and closings.
  • Use the LMS to log interactions with students and parents.
  • Prepare and guide parents and students through orientation, to include; creating a pamphlet of information, check students and parents into the office, mark on the spreadsheet if a student has attended.
  • Print and mail student IDs to students that attended orientation outside of the main office and upload these pictures into the LMS.
  • Make all maintenance appointments for the main office, such as pest control, electricians, plumbers, HVAC, shredding services, and carpet cleaners.
  • Create folders and print documents for Board Meetings and Teacher In-Service.
  • Participate in special school events, Teacher In-service days, Graduation and Open House.
  • Plan, shop and order food for Board Meetings and Teacher In-Service days.
  • Assist with State Testing as a monitor, if needed.
  • Attend weekly staff meetings.
  • Other Duties as assigned.

Requirements:

  • Bachelor’s degree and one year of Administrative Assistant experience
  • Knowledgeable of appropriate software preferably Google products 
  • Pass a SC SLED background check
  • Ability to manage stressful situations in a calm, courteous and efficient manner.
  • Excellent written and oral communication skills.
  • Attention to detail, organization and planning skills.
